Privacy Policy
Effective date: October 24, 2026
Pheno Health Group LLC (“Pheno,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through phenohealthgroup.com and our related content and communications (the “Site”), how we use it, whom we share it with, and the choices you have. By using the Site, you agree to the practices described here.
1. Information we collect
Information you give us. When you contact us, request a consultation, subscribe to our newsletter or insights, register for an event or course, or otherwise communicate with us, we collect what you provide — typically your name, email address, organization, title, phone number, and the content of your message.
Information collected automatically. Like most websites, the Site collects certain technical information when you visit: IP address, browser type and version, device type, operating system, referring pages, pages viewed, time spent, and approximate location derived from your IP address. This is collected through cookies, log files, and similar technologies (see Section 5).
Information from third parties. If you connect with us through a platform such as LinkedIn or our newsletter provider, we may receive information those platforms make available under their own privacy policies.
Information we do not want. Please do not send us protected health information, medical records, Social Security numbers, financial account numbers, or other sensitive personal information through the Site. The Site is not designed to receive or secure that information. If a consulting engagement requires it, we will put appropriate agreements and secure channels in place first.
2. How we use information
We use the information we collect to:
- Respond to your inquiries and provide the services or information you request;
- Send newsletters, insights, and updates you have subscribed to (you can unsubscribe at any time);
- Operate, maintain, secure, and improve the Site and understand how it is used;
- Communicate with you about engagements, events, and opportunities we believe are relevant to you;
- Comply with legal obligations and enforce our Terms of Use; and
- Protect the rights, safety, and property of Pheno, our clients, and others.
We do not sell your personal information, and we do not use it for automated decision-making that produces legal or similarly significant effects.
3. How we share information
We share personal information only as described here:
Service providers. We use trusted third-party vendors to operate the Site and our business — for example, website hosting, email and newsletter delivery, scheduling, analytics, and cloud storage. These providers may process your information on our behalf and are bound to use it only for the services they provide to us.
Legal requirements. We may disclose information when required by law, subpoena, or court order, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or security issues.
Business transfers. If Pheno is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
With your consent. We may share information for any other purpose with your consent.
We do not share your information with third parties for their own marketing purposes.
4. Newsletters and marketing communications
If you subscribe to our newsletter or insights, we will send you content by email. Every message includes an unsubscribe link, and you may opt out at any time by using that link or by emailing us at adrianne@phenohealthgroup.com. Unsubscribing from marketing emails will not stop transactional or engagement-related communications you have requested.
5. Cookies and analytics
The Site uses cookies and similar technologies. Essential cookies are required for the Site to function. Analytics cookies help us understand how visitors use the Site so we can improve it; we use tools such as Base44 Analytics and Google Search Console for this purpose. These tools may collect information about your visit as described in their own privacy policies.
Most browsers let you refuse or delete cookies through their settings. Disabling cookies may affect some Site functionality. The Site does not currently respond to browser “Do Not Track” signals, as no common industry standard exists for them.
6. Third-party links and services
The Site may link to third-party websites and services, including our newsletter platform, LinkedIn, and scheduling tools. This Privacy Policy does not apply to those third parties. We encourage you to review their privacy policies before providing them with information.
7. Data security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You share information with us at your own risk.
8. Data retention
We keep personal information only as long as needed for the purposes described in this Policy, to comply with legal and accounting obligations, to resolve disputes, and to enforce our agreements. Newsletter subscriber information is retained until you unsubscribe. Inquiry and correspondence records are generally retained for the period reasonably necessary to respond and maintain a business relationship.
9. Your privacy rights and choices
Depending on where you live, you may have rights regarding your personal information, which may include the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your personal information, subject to legal exceptions;
- Opt out of marketing communications; and
- Receive a copy of your information in a portable format.
Residents of California, Colorado, Connecticut, Virginia, Utah, Oregon, Texas, Montana, and other states with comprehensive privacy laws may have additional rights, including the right to opt out of the sale or sharing of personal information and of targeted advertising. Pheno does not sell personal information or share it for targeted advertising.
To exercise any of these rights, email us at adrianne@phenohealthgroup.com with “Privacy Request” in the subject line. We will verify your identity before acting on your request and respond within the time required by applicable law. We will not discriminate against you for exercising your rights.
10. Children’s privacy
The Site is intended for adults and business professionals and is not directed to children under 13 (or under 16 where applicable law sets a higher age). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it promptly.
11. Visitors from outside the United States
Pheno is based in the United States, and the Site is hosted and operated here. If you visit from outside the U.S., including the European Economic Area, the United Kingdom, or Canada, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country. By using the Site, you consent to that transfer. Where required, we rely on appropriate legal mechanisms for such transfers.
12. HIPAA notice
Pheno Health Group LLC provides consulting services to organizations. With respect to this Site, Pheno is not a “covered entity” under the Health Insurance Portability and Accountability Act (HIPAA), and information you submit through the Site is not protected health information governed by HIPAA. In consulting engagements where Pheno handles protected health information on a client’s behalf, it does so under a Business Associate Agreement and the client’s HIPAA policies — not under this Privacy Policy.
13. Changes to this Policy
We may update this Privacy Policy from time to time. The “Effective date” above shows when the current version took effect. If we make material changes, we will post the updated Policy on this page and, where appropriate, notify subscribers by email. Your continued use of the Site after changes are posted means you accept the revised Policy.
